TERMS AND CONDITIONS

Participant Registration and Payment

IMPORTANT: PLEASE REVIEW BEFORE PAYMENT

  • Registration is confirmed only after full payment has been received.

  • Discounted registration categories remain subject to eligibility verification.

  • The cancellation and refund policies will be applied strictly.

By submitting the registration form or proceeding with payment, the participant confirms that the information provided is accurate and agrees to these Terms and Conditions.

1. Registration and Acceptance of Terms

These Terms and Conditions apply to registration for ICIM 2026, including the main conference, pre-conference activities and any separately charged programme. Submission of the registration form and payment constitutes acceptance of these Terms and Conditions.

2. Registration Fees and Entitlements

Registration fees are based on the category selected during registration. The applicable fee must be paid in full before registration can be confirmed.

The fee includes only the activities and entitlements stated for the selected category. Travel, accommodation, insurance and personal expenses are not included unless expressly stated.

​

3. Payment and Confirmation

Registration is confirmed only after full payment has been successfully received and a confirmation or official receipt has been issued.

Participants are responsible for selecting the correct category. Any bank charges, payment-gateway fees, currency-conversion charges, taxes or other transaction costs shall be borne by the participant.

​

4. Participant Categories and Supporting Documents

Online access is issued solely to the registered participant and must not be shared. Participants are responsible for having a suitable device and reliable internet connection. The organisers are not responsible for access problems caused by the participant’s equipment, internet connection or local network. Where a substantial technical failure arises from the conference platform, the organisers will determine the appropriate remedy, which may include alternative access to a recording where available.
 

Participants claiming a discounted category must provide valid supporting information or documentation:

  • Students: a valid student card, official confirmation of enrolment or course offer letter.

  • Malaysian Medical Association members: a valid MMA membership number.

  • Local or international categories: eligibility will be determined according to the criteria stated on the registration page.
     

The organisers may verify submitted information and request further documentation. If eligibility cannot be verified, the participant may be required to pay the difference between the discounted and standard registration fees.

5. Cancellation and Refund Policy

All registration fees paid for ICIM 2026 are strictly non-refundable. This no-refund policy applies to participant cancellations, non-attendance (“no-show”), scheduling conflicts, changes in personal circumstances, travel disruptions, visa-related issues, illness, or any other reason beyond the control of the organisers.

Participants who are unable to attend may submit a written request to transfer their registration to another eligible participant, subject to prior approval by the Conference Secretariat and the applicable substitution conditions.

In exceptional circumstances, a written request for a refund may be submitted to the Conference Secretariat together with relevant supporting documents. Each request will be assessed individually on a case-by-case basis. Submission of a request does not guarantee approval or create any entitlement to a refund.

Any exception to the no-refund policy shall be granted solely at the discretion of the ICIM 2026 Organising Committee. The Committee’s decision shall be final. If an exceptional refund is approved, the refundable amount may be subject to deductions for SST, administrative charges, bank charges, payment-gateway fees, currency-conversion costs, and any other non-recoverable expenses already incurred by the organisers.

Refund processing.

Approved refunds will be processed within [30 working days / one month] after the conference. The actual time for funds to appear may depend on the participant’s bank or payment provider.
 

Separate programme registration.

nless otherwise stated, the cancellation policy applies separately to the main conference, pre-conference activities and any other paid programme.
 

Method of request.

Cancellation requests must include the participant’s full name, registration or receipt number, contact details, reason for cancellation and any information reasonably required to process the request.

6. Registration Transfer or Substitution

Registration is non-transferable unless prior written approval is obtained from the Conference Secretariat. Substitution requests must be received by 15 October 2026. The substitute participant must meet the requirements of the original registration category. Any difference in registration fees must be paid before the substitution is confirmed. No refund will be given if the substitute participant is entitled to a lower registration fee.

7. Programme Changes, Postponement and Event Cancellation

The advertised speakers and programme are correct at the time of publication. The organisers reserve the right to substitute speakers or modify session titles, formats and schedules without prior notice where reasonably necessary. A change of speaker or programme content does not, by itself, constitute grounds for a refund.

If the conference is postponed, existing registrations will automatically be transferred to the rescheduled dates. Participants unable to attend the rescheduled event may submit a refund request within 30 days of the postponement announcement.

​

If the conference is cancelled by the organisers and is not rescheduled, participants will receive a refund of the registration fee paid, excluding non-refundable payment-processing charges. The organisers will not reimburse travel, accommodation, visa, insurance or other consequential expenses.

​

8. Participant Conduct and Right of Admission

Participants must behave professionally and respectfully towards speakers, organisers, venue personnel and other participants. The organisers reserve the right to refuse admission or remove any participant whose behaviour is disruptive, unsafe, discriminatory or otherwise inappropriate. No refund will be provided in such circumstances.

9. Photography, Recording and Publicity

Photography, audio recording and video recording may take place during the conference. By attending, participants acknowledge that their image, voice or participation may appear in photographs, recordings and promotional materials relating to the conference.

​

Participants who do not wish to be photographed or recorded should inform the Conference Secretariat in advance or at the registration counter. Unauthorised recording of presentations or distribution of conference materials is prohibited unless permission has been obtained from the organisers and the relevant speakers.

​

10. Personal Data and Privacy

Personal information collected during registration will be used for conference administration, payment processing, communication, certification, reporting and related organisational purposes. Information may be shared with authorised service providers where necessary to administer the conference and process payments.

Personal information will be handled in accordance with applicable Malaysian data-protection requirements.

​

11. Liability and Personal Responsibility

Participants attend at their own risk and are responsible for their travel arrangements, accommodation, insurance, health requirements and personal belongings.
 

To the extent permitted by law, the organisers shall not be liable for personal injury, illness, loss, theft, property damage, travel disruption or other expenses arising from participation, except where directly attributable to the organisers’ proven negligence.

12. Force Majeure

The organisers shall not be liable for delay, modification, postponement or cancellation caused by circumstances beyond their reasonable control, including natural disasters, severe weather, public-health emergencies, government restrictions, civil disturbance, industrial action, transportation disruption or venue unavailability.
